What Vendor Reports are

Vendor Reports, also called Vendor Reimbursement Reporting, help teams manage reimbursements in bulk through a structured report for each vendor and reporting period, often monthly. Instead of forwarding individual tickets or maintaining spreadsheets, teams mark eligible tickets and Claimlane collects them into a report that can be shared through one link.

Vendor Reports can be created for suppliers, manufacturers, and other vendors. They can be used by retailers or suppliers, depending on who needs to claim reimbursement upstream.

What Vendor Reports help you do

  • Track which cases should be reimbursed by each vendor.

  • Ensure each eligible case includes the required documentation.

  • Share one structured report instead of many separate tickets.

  • Monitor pending and credited reports.

Set up Vendor Reports

1. Choose required vendor product data

Open the vendor’s Product data in a data source and choose the information that the report should include in Data blueprint.

2. Add other report data

To include information that does not come from product data, create Flow tags under General tags in the data source.

3. Configure the report template

Go to Manage Company → Vendor Reports and enable the data source fields and tags to include. Create the required flow tags on the data source before enabling them for the report.

Use Vendor Reports

1. Handle tickets as usual

Process returns, claims, repairs, and other cases in Claimlane through the normal workflow.

2. Mark eligible tickets

On each eligible B2C ticket, mark the case for a Vendor Report and link it to the relevant vendor instead of forwarding it individually.

3. Add the ticket to the report

Confirm which ticket details to include.

4. Review collected claims

After adding tickets, go to Manage Company → Vendor Reports and select Create new report. Review all included claims before sharing the report.

5. Share the report

Name the report and create a unique URL to share with the vendor.

6. Let the vendor review outcomes

The vendor opens the URL, reviews each claim, and selects an outcome such as Accepted or Declined.

7. Mark a reimbursed report as credited

After the vendor reimburses you, select Mark as Credited. You can also copy the report link or export the report to Excel.

8. Add settlement documentation

Attach a supporting document, such as a credit note or settlement file, as evidence that the vendor reimbursed the claim.

9. Monitor report status

Filter previous reports by status to see which reports are pending and which have been credited.

Requirements

  • Create the vendors in Claimlane.

  • Agree on the report template and required product data.

  • Where possible, include a vendor identifier in upstream product or order data so tickets can be linked reliably.
